Mail Connection 

Use

You can use the mail connection function to send a mail quickly and easily from the MRP list and the stock/requirements list to business partners. This is useful, for example, if exception situations have appeared in the result of the planning run and you want to inform the relevant business partner in writing immediately.

Prerequisites

  • System administration: You have set up the SAP System so that external e-mails can be sent and have entered the e-mail addresses for external recipients in the system (for vendors and customers in the vendor master).
  • In Customizing for MRP, you have entered a mail recipient (individual recipient or recipient group) for the MRP controller in the IMG activity Define MRP controller.

Features

External E-mail

You can send e-mails to the following external recipients:

  • to the vendor, who is assigned to the material in the source list and is flagged as relevant to MRP

This function is particularly useful with single-source vendors. If several vendors are entered in the source list, the mail addresses of all the vendors, who are flagged as MRP-relevant, appear in the send screen and you can delete any that you do not require.

  • to the vendors entered in a purchase requisition, purchase order or schedule lines

  • to the customer in a sales order

You set up this function as a flexible transaction call for the MRP element sales order.

Internal SAP Mail

You can also send a mail to the MRP controller for a material using the internal SAP mail function.

You can choose whether you want to send the mail to an individual recipient or to a recipient group.

You can send a mail to the MRP controller without triggering a workflow. As standard, this function can be accessed using or by choosing Goto Send mail.

You can also integrate the sending of the mail into a workflow (see Workflow for Mail to MRP Controller). The recipient then receives a work item with the stock/requirements list for the material selected. The recipient must call up the list and close the work item explicitly in order to delete it from the mail inbox. If you send the mail to a recipient group, just one recipient needs to call up the list and close the work item. You set up this function as a general, flexible transaction call.

General Features

  • The system copies certain parameters directly into the mail and these are internal, and if available, external material number, plant and e-mail address of the recipient or the internal user (if entered in the system). In the case of external e-mail, the system also copies the respective MRP element number. The system does not include the MRP list or stock/requirements list automatically (exception: workflow variant for the mail to the MRP controller).

If you want to send the mail directly to just one MRP controller and include the MRP list or stock/requirements list automatically, you can use the function for variable printing. When using variable printing, the data is displayed in the form of a list that can be processed and printed. A separate mail function also appears, which you can use to send this print list.

  • You can enter a title, add free text, change the recipient and attach files manually.
